Unfortunately, some providers have had negative experiences with the auditing process and this makes it difficult for the RTO and its staff to appreciate the benefits such a process can bring to an organisation’s health and growth.  An audit, whether internal or external, should always be about continuous improvement and giving providers an opportunity to demonstrate what they do best.  There will be times when an organisation gets it wrong or may be able to do something better, and that’s ok, provided the focus is always on ensuring best practice, quality training that meets registration requirements and client satisfaction.  A good auditor will always be able to find examples of good practice and should take every opportunity to point this out to the RTO.  They will also make suggestions regarding opportunities for improvement.  While these are not mandatory for RTO’s to implement, they are often ways in which RTO’s can improve their current practice or better achieve their business goals and are usually based on industry best practice.

Internal Auditing

In order to ensure continuous improvement, a systematic approach to operations and to ensure that your business is performing at its optimum, RTO’s should undertake internal audits at least annually.  Many RTO’s will undertake internal audits twice a year, some even more frequently.  An internal audit is usually performed to ensure that:

  • Staff are operating the RTO in accordance with its registration requirements
  • Staff are following the RTO’s policies & procedures
  • Clients & Stakeholders expectations are being met
  • Training Package / Accredited Course or Skill Set requirements are being met
  • Licensing & registration requirements are being met
  • Enhance the continuous improvement approach the business has engaged in
  • Confirm that the operation is operating using a systematic approach

External Auditing

RTO’s can be exposed to audits from their registration authority, the Australian Skills Quality Authority (ASQA), the Training & Accreditation Council (TAC) in Western Australia, the Victorian Registration & Qualifications Authority (VRQA) in Victoria, various licensing authorities and course accreditation committees for example:

  • Department of Transport

  • Initial registration
  • Variations to course registration
  • Adding new qualifications to the organisation’s scope of registration
